The Routematic Operations Command Center (ROCC) are the nerve hubs of Employee Transportation, ensuring the safe, orderly, and most efficient movement of employees on the ground. The Command center design is structured to prioritise safety and predictability, keeping employee centricity in focus.

1. Control Room

The ROCC control room serves as the central hub for monitoring and managing employee transportation. It is equipped with:

  • Real-Time Dashboards: Display vehicle locations, routes, and statuses using GPS tracking.
  • Communication Consoles: Enable coordinators to interact with drivers and employees.
  • Incident Management Screens: Highlight alerts for delays, accidents, or safety concerns. The room is designed for high visibility, with large monitors and ergonomic workstations to support continuous operations.

2. Transportation Coordinators

Skilled coordinators are the backbone of the ROCC, responsible for:

  • Safety Monitoring: Ensuring compliance with safety protocols, such as speed limits and driver rest periods.
  • Vehicle Demand Management: Forecasting and deploying sufficient vehicles in the city to fulfil sudden surge in vehicle demand due to higher demand or delays in ongoing trips.
  • Emergency Response: Coordinating rapid responses to incidents like vehicle breakdowns or accidents. Coordinators are trained in logistics, safety management, and crisis handling, with roles specialized for scheduling, real-time monitoring, or employee support.
  • BCP Response: In case of rains or other large scale events that may effect the operations at a city level, the transport coordinators must be able to discuss with the Corporate teams to upgrade vehicles or realign shifts to ensure easier movement of employees through the city. The Coordinators also focus on securing the business assets to divert vehicles to a safer location in case of emergencies

3. GPS and Vehicle Tracking Systems

The ROCC uses advanced tracking technology:

  • GPS Trackers: Installed in all vehicles to provide real-time location, speed, and route adherence data.
  • Geofencing: Alerts coordinators if vehicles deviate from approved routes or enter restricted areas.
  • Telematics: Monitors vehicle health or EV charge management (e.g., fuel levels, tire pressure) to prevent breakdowns and enhance safety. These systems ensure full visibility of the transportation fleet, enabling proactive safety interventions.
  • Dashcams: Vehicles are also installed with Dashcams, whose feed is streamed or analysed for conducting any investigations

4. Communication Infrastructure

Reliable communication is critical for coordinating transportation and ensuring employee safety:

  • Mobile Apps: Allow employees to track vehicles, receive ETA updates, and report issues directly to the RTCC.
  • Driver Communication Systems: Equip vehicles with radios or in-app messaging for constant contact with coordinators.
  • Emergency Hotlines: Provide employees and drivers with direct access to the ROCC for urgent situations.

5. Safety and Environmental Monitoring Systems

These monitor conditions affecting employee safety:

  • Traffic Updates: Real-time data from services like Google Maps to avoid congestion or hazardous routes.
  • Road Condition Monitoring: Detect issues like flooding or construction that could impact safety.
  • In-Vehicle Safety Systems: Include panic buttons, fatigue detection cameras, and collision avoidance technology. This data enables coordinators to reroute vehicles or issue safety advisories as needed.

6. Backup and Redundancy Systems

To ensure uninterrupted operations, the ROCC incorporates:

  • Power Backup: Generators and UPS to maintain system functionality during outages.
  • Cloud-Based Data Backup: Stores critical data such as trip sheets are stored as a backup for use in case of a shutdown
  • Emergency Response Team: Deployable ERTs are ready for any contingencies and can be sent across the city.

7. Onboarding and Compliance

The compliance department is responsible for managing compliance of vehicles and drivers. The drivers undergo a detailed Background Verification and court check through a private agency and have the mandatorily have valid policer verification certificate to participate in Routematic fleet.  Any vehicle/driver that becomes non compliant cannot participate in any trips associated with Routematic TaaS

8. Training and Simulation Facilities

The ROCC maintains robust training programs to prepare staff and drivers:

  • Driver Training Simulators: Teach safe driving techniques and emergency response protocols.
  • Coordinator Drills: Simulate scenarios like accidents, traffic disruptions, or employee emergencies to enhance decision-making.
  • Safety Workshops: Regular sessions for employees on using transportation services and reporting concerns. Training aligns with industry standards and local regulations to ensure compliance and preparedness.

9. Coordination with External Entities

The ROCC collaborates with external stakeholders to enhance safety and efficiency:

  • Local Authorities: Coordinate with police, emergency services or hospital for rapid incident response.
  • Third-Party Vendors: Work with fleet maintenance providers to ensure vehicle reliability.
  • Corporate HR Teams: Align transportation with employee needs, such as shift changes or special accommodations. This collaboration creates a cohesive transportation ecosystem focused on employee well-being.

Conclusion

The Routematic Transportation Command Center reimagines the employee transportation, prioritizing safety and efficiency. By integrating real-time tracking, robust communication, advanced safety systems, and skilled coordinators, the ROCC ensures employees reach their destinations securely and on time. As corporate transportation demands grow, the ROCC can evolve, incorporating technologies like autonomous vehicles or predictive analytics to further enhance safety and performance.
