• Mobile Number, Email, Pickup/Drop Point with timings, Residential Address
• Shift Timings, Office Location
• Employee Category, SPOC, Business Unit, Departments
• Route Number and current location (GPS)
• Spending on Transport
• Physical disabilities (if any)

We require this information to understand your needs and provide you with a better service, and for the following reasons:

• To prepare the data base for routing purpose.
• Geo-Coding of Pickup / Drop location.
• Prepare route list with using all Parameters.
• Transportation Tracking Purpose.
• Vehicle ETA (Estimated Time of Arrival), Alerts and SMS.
• Verification on automated IVR Help desk and making automated IVR calls for alerting purposes.
• Email and SMS based alerts for transportation purposes.
• Transport Charges update to your organization's Payroll team.
• We may periodically send emails about new implementation, other information which we think you may find interesting using the email address which you have provided.

We are committed to ensuring that your information is secure. In order to prevent unauthorized access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect from you. Routematic wishes to assure you that your personal information will be treated as confidential and with high standards of security. Routematic pledges its intention fully to meet internationally recognized standards of personal data privacy protection and to comply with the requirements of applicable data protection/privacy laws. In doing so, we will ensure compliance by our staff with the strictest standards of security and confidentiality.

Routematic complies with the all the laws and regulations set forth by the Govt. of India with regards to the information privacy and information security, including Information Technology Act, 2000 and Information Technology Rules, 2011.

However, it is your responsibility at all times to maintain the secrecy of your user ID and login password for using Routematic.

We will promptly correct any information found to be incorrect once your transport administrator updates the same. You agree to indemnify and hold Routematic, its officers, directors, shareholders, predecessors, successors in interest, employees, agents, subsidiaries and affiliates, harmless from any demands, loss, liability, claims or expenses (including legal and lawyer fees), made against Routematic by any third party due to or arising out of or in connection with your use of the application.

Routematic reserves the right to recover the damages, including any legal fees and attorney's fees from persons found using Routematic product, website and its online services fraudulently. Routematic reserves the right to initiate legal proceedings against such persons for fraudulent use of its product and services, and any other unlawful acts or omissions in breach of the Terms.

This privacy policy is governed by and approved by the management of Routematic. Routematic management ensures that it complies with all the legal and regulatory requirements as part of managing its Data Protection and Privacy program. The Data Privacy Officer (DPO) at Routematic is responsible for the overall management of this policy.

The Data Privacy Officer is currently also the Grievance Officer.

The following table identifies who within Routematic is Accountable, Responsible, Informed or Consulted with regards to this policy. The following definitions apply:

• Responsible – the person(s) responsible for developing and implementing the policy.
• Accountable – the person who has ultimate accountability and authority for the policy.
• Consulted – the person(s) or groups to be consulted prior to final policy implementation or amendment.

Routematic shall act either as a Data Controller or Data Processor depending on the nature of services offered.

• As a Data Controller, Routematic determines the purpose and means of processing Personal Data.
• As a Data Processor, Routematic processes Personal Data strictly on behalf of its customers and in accordance with their instructions defined in service agreements.

Your data may be shared under the following scenarios:

• With third-party service providers or sub-processors engaged by Routematic (e.g., infrastructure providers).
• Legal Compliance: If required under applicable laws or in response to government requests.
• Emergencies: Where disclosure is necessary to prevent harm.

Personal Data may be processed in India and potentially other countries where Routematic or its vendors operate.

This policy will be officially monitored for compliance by the Data Privacy Officer and may include random and/or scheduled inspections.

The policy compliance must be strictly observed. The policy is enforced using automated means as much as possible. There are no exceptions to this policy. Any employee found in violation of this policy may be subject to disciplinary action, up to and including termination of employment.
